Practical questions for your next IT decision

Know what to ask before you make a change.

Use these short checklists with your team or provider. They can help you identify missing information before switching systems, adding software, or approving an AI tool.

01

Before changing IT providers

Know what needs to move—and what must keep working.

  • Does your business control its Microsoft 365 accounts, website domain, and essential applications?
  • Do you have the contracts, renewal dates, vendor contacts, and administrator access needed for a handover?
  • How will documentation, backups, and open support issues be handed over?
  • Who is responsible at each stage, and which business deadlines affect the transition?
02

Before buying another Microsoft 365 tool or subscription

Start with the problem and the tools you already have.

  • Which task is taking too long, and what would a useful improvement look like?
  • Does an existing license already include a suitable feature?
  • Will the change affect employee access, shared files, devices, or other applications?
  • What protection and recovery arrangements does the information need?
  • What is the full cost, including software, backup, support, setup, training, and ongoing maintenance?
03

Before approving an AI tool

Decide the rules before employees rely on it.

  • Which business tasks is the tool intended to help with?
  • Who will manage accounts, settings, and subscriptions?
  • What information may employees enter, and what requires approval?
  • Which connections to company tools or data are permitted?
  • Does the selected subscription support the restrictions you need?
  • Who checks the results, and how is access removed when someone leaves?
